PREPARING FOR EVENTS: WHAT TO DO BEFORE, DURING, AND AFTER THE EVENT
It's crucial to approach events (conferences, webinars, meetings, etc) with a plan that maps out what we hope to accomplish, how we will manage our time while there, and what steps we will take afterward to capitalize on what we learned.
STAKEHOLDER ENGAGEMENT - GLOBAL EVENTS
Our Engagement Mechanism is the procedure by which stakeholders in diplomacy can plan, consult, coordinate and contribute expertise on relevant issues.
One of the key goals of the Institute as a non-state stakeholder in diplomacy is to engage in inter-governmental decision and policy-making processes through:

(a) supporting the participation of public diplomacy practitioners in intergovernmental events in line with relevant rules of procedure for the respective intergovernmental bodies by applying for special accreditation to respective governing bodies,
-
(b) participation in sessions as subject experts,
-
(c) submission of written or oral statements at various inter-governmental events.
For example, the Institute actively works to ensure the inclusion of gender-specific issues across negotiated outcomes. To support its advocacy, the Institute prepares papers backed by research, submits written or oral statements at various events and communicates key gender equality linkages through outreach.
We provide opportunities for public diplomacy practitioners and researchers operating in different sectors to become active participants in global discussions that aim to develop a broader strategy to shape a better future.
The Institute supports its members in coordinating their work with international organizations, accessing their processes and meaningfully participating in them.

External eligibility criteria

The arrangements for participation are different for every event, and set by the organizers of each event, in line with established procedures.

Internal selection criteria
for members to represent the Institute at conferences

Applicant is a Doctor/PhD member or a Ptofessional member of the Institute for at least one year;

Applicant has demonstrated experience in the fields related to conference

Applicant must be in good standing.
Pre-Approval, Registration and Confirmation
-
After pre-approval, you will receive a signed letter from the Institute on letterhead indicating that you are approved to represent Institut de diplomatie publique at the event.

You must attach this letter for registration.

Once the relevant organizers have approved your application, you will receive confirmation of your participation in the conference.
After the event
Write your post event report (event summary) and add your notes about the conference to Database for your colleagues to read and learn from!
Selection criteria for members to represent the Institute at conferences
When reviewing the application forms, the Institute consider a number of primary and secondary selection criteria outlined below.
Primary selection criteria
Applicant is a Doctor/PhD member or a Ptofessional member of the Institute for at least one year;
Applicant has demonstrated experience in the fields related to conference;
Applicant must be in good standing.
Once these primary criteria are determined, a number of secondary considerations are factored into the final selections.

Funding
As a rule, participants are required to fund their own participation in the conferences, except for the virtual events which are provided free of charge.

Geographical diversity
Approval of the members for participation in the events will be based on due diligence and risk assessment, in accordance with the eligibility criteria and in accordance with Institut’s rules and policies.
Mandatory document:
Members must attach a signed letter from the Institute on letterhead indicating that they are approved to represent Institut de diplomatie publique at the event.
Support for travel to attend international conferences
In most circumstances, due to limited funding, only one IPD representative will be eligible to receive partial funding from the Institute for a particular UN, IMF, or WBG event.
Please note that the Institute is not responsible for financially sponsoring participation, facilitating visas, nor providing insurance should the application to attend be approved.
Registered representatives are responsible for their own travel and accommodation costs.
Nevertheless, from time to time the organization. responsible for the event encourages representatives from developing countries, in particular the least developed countries, to express their interest in accessing travel support for their participation. Please check carefully the information on the organizer's event page.
When resources permit, the Institute only the following costs will be considered for payment:
economy return air (train, bus) fare inside the UK, EU, or between the UK and the EU; and
accommodation costs (meals and incidental expenses are not covered and advance funding is not provided.
